Top 10 Procurement Questions

When evaluating a security vendor, asking the right questions is critical. These ten questions go beyond the brochure to reveal how a vendor really performs when it matters most.

1. Can you provide references or case studies in our industry?

Always follow up with peer insights and success stories. A vendor should be able to show relevant experience with organizations similar to yours.

2. What certifications and compliance standards do your solutions meet?

Ask about standards such as NDAA, SOC 2, HIPAA, GDPR, and other requirements that may apply to your organization or industry.

3. What’s your data privacy and cybersecurity strategy?

Ask about encryption, cloud security, multi-factor authentication, and how the vendor protects sensitive system and user data.

4. How does your system integrate with existing infrastructure?

Think beyond one product. Ask how the system works with access control, video surveillance, alarms, visitor management, and other parts of your security environment.

5. Can you provide a detailed scope of work and total cost of ownership?

Include installation, licensing, updates, support, and maintenance. A clear proposal should help you understand both upfront and ongoing costs.

6. How scalable and future-proof is your platform?

Ask whether the system can grow with your organization, support additional users or locations, and adapt to new threats over time.

7. What are your average response and resolution times for service requests?

Ask what the service level agreement guarantees and how quickly support issues are typically acknowledged, addressed, and resolved.

8. How do you support remote monitoring and mobile access?

Remote visibility is critical for modern, multi-site, or hybrid work environments. Ask how administrators can monitor activity and manage access from anywhere.

9. What kind of training and onboarding do you provide?

Ask what happens after deployment and whether ongoing support is included. A strong vendor should help your team use the system confidently.

10. How often do you release updates or new features?

This gives insight into how innovative and proactive the vendor is. Modern security systems should continue improving after installation.
